Add users to groups
For teams with DeepL credential access: Users who are added to a group will receive an invitation email and have the status Invited until they join the team. This invitation will expire after 90 days. Users who are already part of the team and are added to a group do not receive an invitation email. Read how to create group invitation links to send out to your team manually in this article.
Users can be part of only one team at a time. If they want to join a different team, they need to be deleted from the team they are a part of first.

Add users via the Groups tab
- Go to the Groups tab in your DeepL account
- Click Add users next to the group you want to add users to
- Add one or more users by entering their email addresses
Add users via the Users tab
- Go to the Users tab in your DeepL account
- Click Add users
- Optional: upload a CSV file to add 40 or more users at once
- Select the group you want to add the users to
- Add one or more users by entering their email addresses
Alternatively, do the following.
- Go to the Users tab in your DeepL account
- Select the users you wish to add to a group from the list
- Click the dropdown menu More, then Update groups
- Select the groups to which you want to add users in the dropdown menu in the section Add to groups
- Confirm your selection
Remove users from groups
- Go to the Users tab in your DeepL account
- Click the three dots next to the user
- Click Remove from ...
- Confirm your selection
Alternatively, you can do the following.
- Go to the Users tab in your DeepL account
- Select the users you wish to remove from a group from the list
- Click the dropdown menu More, then Update groups
- Select the groups from which you want to remove users in the dropdown menu in section Remove from groups
- Confirm your selection
Delete users from a team
Deleting an admin or a team member removes them from the team completely.
To delete a single user, do the following:
- Go to the Users tab in your DeepL account
- Find the user you want to delete and click the three dots
- Click Delete
To delete several users at once, do the following:
- Go to the Users tab in your DeepL account
- Select all the users you want to delete by clicking the box next to their email address
- Click Bulk actions at the top of the list
- Click Delete users
To add a deleted user again, follow the steps in this article.
Edit users
- Go to the Users tab in your DeepL account
- Click the three dots next to the user you want to edit.
Select from the following options:
- Resend invitation: reactivates the invitation when the invitation link has expired after 90 days
- Revoke invitation: deactivates the invitation
- Grant admin access: makes the selected user a team admin
- Grant customization admin access: makes the selected user a customization admin
- Remove admin access: revokes admin rights from a user
- Remove from...: removes the user from a specific group
- Delete: removes the user from all groups and deletes them from the team
Manage several users at once
Bulk manage several users at once. Using this option allows you to delete users from the team, or manage their group membership by doing the following:
- Go to the Users tab in your DeepL account
- Select the users you wish to delete by selecting the checkbox next to their email address. You can select all users by selecting the checkbox in the column title or filtered users.
- Click Bulk actions
- Select the option you want to apply to the selected users
Select from the following options:
- Update groups: adds to or removes the selected users from one or several groups
- Resend invitation: reactivates the invitation when the invitation link has expired after 90 days
- Revoke invitation: deactivates the invitation
- Delete: removes the user from all groups and deletes them from the team
Filter for users
In the Users tab, filter users to make it easier to find them:
- Groups: shows only users who are part of the selected groups
- Licenses: shows only users who have been assigned a license of the selected license type. If you select Unassigned, you can show users who could not be assigned a license.
- Last used: shows all users that last used DeepL Translator or Write within the selected time frame
- Role: shows only users who have a specific role (e.g., admin)
- Status: shows users by status: Active, Inactive, and Invited
Filtered users can be bulk selected by clicking the checkbox in the title column. The checkbox only selects users that are shown.
Export a list of users
To export a CSV file of all users, do the following:
- In the Users tab, click Export all users
- You will receive an email with a link to download the CSV file
The option to export a list of all users may become inactive for a short period of time after it has been used.
Troubleshooting
There is already an account with this email address
This error may occur if the invited user already has a DeepL account, but has not joined another team subscription. They can join the team subscription by logging into their existing account following the team invitation link in the email.
If users who already have an account try to sign up with a new password, the following error is displayed: "Your login info is not correct. Please check your email and password and try again."
If a user has forgotten their password, follow the instructions in this article. Repeat the process after the password has been reset.
"You are already a member of a team" error, or "The team account is currently deactivated"
This error occurs when a user cannot join a team subscription because they are still a member of another team.
To join a new team, they should follow these steps:
- Log in to their DeepL account
- Go to the Account tab
- Under Team membership, click Leave team
- Confirm by clicking Leave team and log out
- Click the link in the invitation email for the new team
- In the Join team dialog, enter their email address and the password they set for their already existing DeepL account
