Usage dashboards for team admins

If you are a team admin, you can find detailed reports on your team's licenses, translated characters, and when they last used DeepL Pro.

Currently, only usage data for DeepL Pro plans are displayed. Usage data for DeepL Write Pro is not displayed.

To find this information, go to the Analytics tab in your account. This tab is only visible to team admins and not to individual team members.

It may take up to 24 hours for user activity to appear in the usage report or on the dashboard in the Analytics tab.

If you are team admin, you can also easily access your team's dashboard from your Home page via the shortcut Usage analytics.

On the Analytics tab, you will find your team's usage dashboard with the following information:

Total users All users that currently have a DeepL Pro license
Active Number of team members that used DeepL Pro in the last 30 days
Inactive Number of team members that haven't used DeepL Pro in the last 30 days

 You can filter the usage information by date range (30 days, 3 months, 6 months, and 12 months) and choose the time frame (daily, weekly, or monthly). The data in these dashboards is anonymized and does not reveal individual team member usage.

If SSO is enabled for your team, licenses of users who haven't logged in for 30 days will be reused for other team members if there aren't enough licenses available. The number of inactive users shown in the usage dashboard is the number of users who haven't used DeepL Pro in the last 30 days. For more information, see this article. 

 

Download team member usage reports

Required plan: DeepL Pro, DeepL Write Pro
Team members' usage reports under your company's subscription are confidential data. It is your responsibility as controller to ensure that any subsequent processing of the data is conducted in accordance with applicable data protection laws including but not limited to the GDPR.

It is possible for team admins to download a team member usage report as a CSV file.

  1. Go to the Analytics tab in your account
  2. Click on Download team member usage report
  3. If subscription management by groups is enabled, select a Subscription for which you want to download the usage report.
    The usage in the report is displayed based on the selected subscription.
  4. Select a Date range for the usage report
  5. Select a Time frame on how the data is displayed in the usage report within the date range. Depending on the selected Date range, you can select from the following:
    • Daily: Daily usage for each team member within the date range
    • Weekly: Weekly usage for each team member within the date range
    • Monthly: Monthly usage for each team member within the date range
    • Aggregated: All usage for each team member within the date range
  6. Confirm that the report will be processed in accordance with applicable data protection laws in your country and click Download. 
To filter the usage report data, open the CSV file in a spreadsheet tool of your choice. You may need to import the CSV file data as an external data source.

Status
  • Active means that the team member has used the selected subscription within the date range of the usage report
  • Inactive means that the team member has not used the selected subscription within the date range of the usage report

The usage report also includes team members who were deactivated but had usage in the selected date range. They are displayed as Active in the team member usage report. If subscription management by groups is enabled, users that are removed from a group and don't have a license for the selected subscription anymore but had usage in the selected date range are still displayed as Active in the usage report. 

This data is available to help team admins manage licenses and understand how their team uses DeepL. Individual metrics may not be a reliable measure of productivity.

If you want to disable the option to download usage reports for your team admins, go to Settings in your DeepL admin account and disable the toggle for Team member usage report in section Security.
