Required plan: DeepL Voice for Meetings
Team admins can control how long meeting content (transcription & translation) is available to meeting participants.
They can choose between the following options for both logged-in users and everyone else:
- Store for 30 days (least restrictive)
- Store for 15 minutes
- Don't store and only show the last 5 sentences/last 20 seconds of content (most restrictive)
The meeting content is stored locally in each user's browser history. Users can access the meeting content as long as it's stored.
Storage options
The chosen setting defines how long the meeting title is visible in the Your meetings list:
| Setting | Content deleted | Meeting list entry removed |
| Store for 30 days | after 30 days | after 30 days of inactivity |
| Store for 2 weeks | after 14 days | after 14 days of inactivity |
| Store for 1 week | after 7 days | after 7 days of inactivity |
| Store for 1 day | after 24 hours | after 24 hours of inactivity |
| Store for 15 minutes | after 15 minutes of inactivity | after 24 hours of inactivity |
| Don't store and only show last 5 sentences / last 20 seconds | never stored (in-memory: last 5 sentences / 20 seconds, rolling) | never stored (in-memory: last 5 sentences / 20 seconds, rolling) |
How transcript pruning works:
While a meeting is active or paused, the app sends a regular heartbeat to track
when the session was last live. This is used as the reference point for all storage
timers. "Inactivity" in the table above means no heartbeat has been received
since that point.
Once the heartbeat stops (i.e., the meeting ends or is abandoned), the countdown
for the selected setting begins. Once the
timer expires, the transcript is marked for removal and is cleared the next time
a participant opens the meeting or refreshes the page.
Change storage preferences
By default, meeting content is set to Store for 30 days. To change this setting, do the following:
- Log in to DeepL with your admin credentials
- Go to Account, then Settings
- Scroll to Store meeting transcription and translation
- Select your preference for both logged-in users and everyone else
The setting is applied to all meetings hosted by your organization. Team members are not able to change the settings for individual meetings.
Changing to a more restrictive setting permanently deletes existing transcripts the next time a license holder views a meeting. Download transcripts before changing this setting.
