The file translation feature offers fast and high-quality machine translations while retaining the original format of the file. Even so, translation errors can still occur from time to time and differences in word lengths can lead to layout shifts.
For these cases, there are several ways to edit your file after the translation while using DeepL's customization features.
Edit stored translations
When you enable the Storage option before starting your file translation, you can edit your translated file within DeepL afterwards.
Once a stored file has been submitted for review, as the owner or reviewer of a file you can access it via the saved translation section and make changes to the translated text.
Here, you have the following options:
Edit the translated text
Edit the text of your translated file segment by segment.
- Click into a segment of the translated text
- Edit the translated text
- Optional: Click the arrow icon to move to the next segment
- Click Complete review after you're done with your edits
Your edits will be saved automatically.
Leave comments
Enter comments for each segment of the translation. To leave comments, do the following:
- Navigate to the segment you would like to leave a comment about
- Click the speech bubble icon
- Enter your comment in the sidebar
- Click Add to save your comment
Approve segments
You can approve segments after you are finished editing or reviewing them. This helps you to track the process of your review.
To approve a segment, click the circle next to the text or use the shortcut Command ⌘ + Shift ⇧ + Enter ↵ for Mac or Control + Shift ⇧ + Enter ↵ for Windows.

Update the applied translation memory
If a translation memory has been applied to your translation before, your edits to segments with a translation memory match will be captured in the translation memory as well. This will happen automatically as you edit the text.

View a preview of the translated file
You can view a preview of your edited translation and the original file within the editing view. To open the preview, do the following:
- Click Preview in the editing view
- Click the expand icon to open a fullpage view of the preview
- Optional: Click the toggle switch Show original
To refresh the preview after you made edits, click the circled arrow icon.
Access translation quality evaluation results
If you have enabled the translation quality evaluation option, you can access the results of the evaluation within the editing view. All potential issues found by the evaluation will be highlighted with a flag icon .
You can navigate to the affected segment and either resolve the issue or dismiss it.
View information about customization options
If you selected one or more glossaries, a style rule list or a translation memory for your file translation, you can learn more about how these assets have been applied for your translated file within the editing view.
Click a segment in your translated file and open the Customization section in the sidebar. Here you can see which glossary, style rule or translation memory has been applied. For translation memories, you can also view the percentage of the match.
Edit PDF files
When translating PDF files, you have the option to choose the file format of the translated files. To save a translated PDF file as an editable DOCX file, do the following:
- Open DeepL's file translation feature
- Upload one or more PDF files
- Optional: Apply a glossary, formality or change the language model
- Click Start translation
- In the new window, select Convert all to Word documents (.docx)
- Click Translate file
After editing the translated file in an editor of your choice, you can export the file as a PDF file. If you are using Microsoft 365 to edit the file you can also use DeepL add-ins for more translation options.
Use DeepL for Microsoft 365 add-ins
For DOCX and PPTX files, you can use DeepL's services directly in Microsoft Word and PowerPoint.
After translating a file via the file translation feature, you can edit the translation further in Microsoft Word or PowerPoint while benefiting from the following features:
- Glossary
- Formality
- Improve text (DeepL Write)
- Styles and tones (DeepL Write)
