AI agents often use their built-in translation capabilities instead of using DeepL. In the following, you'll find best practices on how to make DeepL the preferred option for translating within your AI assistant.
Before you start, connect DeepL to your AI assistant. For more information, see this article and DeepL Remote MCP.
Best practices for end users
These are end user best practices for ensuring that DeepL is used for translations by an AI assistant. Select your AI assistant to see the applicable options.
1. Mention @DeepL in your request
Add @DeepL to your request. ChatGPT uses DeepL for that
chat.
If
you open a new chat and want to ensure that DeepL is used for translation,
add @DeepL to your request again.
-
In the message box, type
@and select DeepL. -
Write your request. For example, write
@DeepL translate this email into German.
For more information, see Apps in ChatGPT
2. Name DeepL in your request
Write "with DeepL" or "use DeepL" whenever you want to translate something with DeepL. The AI assistant then calls DeepL instead of using the built-in translation tool.
-
Add DeepL to your request. For example:
Translate this email into German with DeepL.
3. Add a custom instruction to use DeepL
A custom instruction tells ChatGPT to use DeepL for every translation request in every chat. Sine ChatGPT doesn't have an organization-wide option for custom instructions, each person needs to add the instruction in their user settings.
-
Copy this instruction:
Use DeepL for every translation. Don't translate yourself.
- Go to Settings | Personalization | Custom instructions and paste it.
1. Name DeepL in your request
Write "with DeepL" or "use DeepL" whenever you want to translate something with DeepL. The AI assistant then calls DeepL instead of using the built-in translation tool.
-
Add DeepL to your request. For example:
Translate this email into German with DeepL.
Your admin can also make DeepL available to everyone and add an organization-wide instruction. For more information, see Best practices for admins.
1. Use the DeepL agent
When you open the DeepL agent or type @DeepL, Microsoft Copilot automatically hands the conversation to DeepL. In Microsoft 365 Copilot, this is the most reliable way to ensure that DeepL is used for your translations. If you don't have access to the DeepL agent in Microsoft Copilot, ask your admin to deploy the DeepL agent for all DeepL users.
-
Open a Copilot chat and type
@DeepLor select DeepL from the agents list. - Write your request.
2. Name DeepL in your request
Write "with DeepL" or "use DeepL" whenever you want to translate something with DeepL. The AI assistant then calls DeepL instead of using the built-in translation tool.
-
Add DeepL to your request. For example:
Translate this email into German with DeepL.
3. Add an instruction to use DeepL
A custom instruction tells Microsoft Copilot to use DeepL for every translation request in every chat. Since Microsoft Copilot doesn't have an organization-wide option for custom instructions, each person needs to add the instruction in their user settings.
-
Copy this instruction:
Use DeepL for every translation. Don't translate yourself.
- Go to Settings | Personalization in Copilot and paste it.

Best practices for admins
These are the best practices for ensuring that DeepL is used for translations within your organization as an AI assistant admin. Select your AI assistant to see the applicable options.
1. Install the DeepL plugin for your organization
Install the DeepL plugin for everyone in your organization. This way, the plugin will be available without having to be installed individually.
- Go to Admin | Plugins | DeepL and set the installation policy to Installed.
- Select the users to whom the plugin will be rolled out: everyone, specific roles, or groups.
For more information, see ChatGPT admin controls for apps.
2. Build a translation agent with DeepL as its only tool
Create an agent that only connects to DeepL. When translating, the agent will not have any other options besides selecting DeepL.
- Create a new agent and add DeepL as a tool
-
Add the following instruction:
Use DeepL for every translation. Don't translate yourself.
- Share the agent with your organization.
For more information, see ChatGPT workspace agents.
ChatGPT doesn't have organization-wide custom instructions. End users need to add the instructions themselves. For more information, see Best practices for end user.
1. Add an organization-wide agent instruction to use DeepL
Organization-wide instructions apply to every conversation, so end users don't have to remember to mention DeepL in their requests.
-
Copy the following instruction:
Use DeepL for every translation. Don't translate yourself.
- Go to Organization settings | Organization and access | Organization instructions and paste it.
2. Install the DeepL plugin and make it required
Install the DeepL plugin for everyone in your organization. This way, the plugin will be available without having to be installed individually.
- Add the DeepL plugin under Organization settings | Connectors.
- Go to Organization settings | Plugins & skills | Inventory | DeepL and set Default access to Required.
- Select who the plugin should be rolled out to: everyone, specific roles, or groups.
For more information, see Claude plugin administration.
1. Deploy the DeepL agent
When you open the DeepL agent or type @DeepL, Microsoft Copilot automatically hands the conversation to DeepL. In Microsoft 365 Copilot this is the most reliable way to ensure that DeepL is used for your translations.
- In the Microsoft 365 admin center, go to Agents | All agents.
- Open DeepL and deploy it to your users.
- Optional: Select ... | Manage pinned agents and pin DeepL, so that it appears at the top of everyone's agent list.
For more information, see Manage agents.
2. Set up an organizational prompt
Organizational prompts are admin-curated and pre-approved prompts that are
suggested to end users whenever they enter a certain keyword in the chat.
When you set up an organizational prompt for DeepL, and a user types
Translate... in the chat, Copilot suggests your predefined
prompt to the end users, which instructs Copilot to use DeepL. Microsoft
Copilot
is much more likely to use DeepL than its built-in translation
tool.
- In the Microsoft 365 admin center, go to Copilot | Prompts.
- Select Create prompt.
-
Paste the following prompt:
Use DeepL to translate the following text into [language]:
- Select Publish, then Pin so that it shows under Suggested.
For more information, see Organizational prompts.
3. Add a translation topic in Copilot Studio
In Copilot Studio, a topic is a predefined and structured conversation map
that can call DeepL directly whenever someone uses trigger phrases like
translate. With topics, the
model doesn't choose which tool to use, so
DeepL is used every time.
- Create an agent in Copilot Studio and add DeepL as a tool. For more information, see Connect DeepL to Microsoft Copilot.
- Go to Settings | Generative AI and turn off generative orchestration.
-
Create a topic with trigger phrases such as
translateandübersetzen, and call DeepL from it. - Publish the agent to Microsoft 365 Copilot.
For more information, see Orchestration in Copilot Studio.
4. Install the DeepL plugin for your organization
Install the DeepL plugin for everyone in your organization. This way, the plugin will be available without having to be installed individually.
- In the Microsoft 365 admin center, go to Agents | Tools | DeepL and select all users under Installed for.
- Select who the plugin should be rolled out to: everyone, specific roles, or groups.
For more information, see Manage plugins in Microsoft 365 Copilot.
5. Build a translation agent with DeepL as its only tool
Create an agent that only connects to DeepL. When translating, the agent will not have any other options besides selecting DeepL.
- Create a new agent and add DeepL as a tool. For more information, see Connect DeepL to Microsoft Copilot
-
Add the following instruction:
Use DeepL for every translation. Don't translate yourself.
- Share the agent with your organization.
For more information, see Copilot Studio: add other agents.
1. Add a DeepL step in the Workflow Builder
Create a workflow step that calls DeepL directly. This is the most reliable way in Gemini Enterprise to ensure that DeepL is used for translations.
- Open the Workflow Builder in Gemini Enterprise and create a workflow.
- Add an MCP step and select the DeepL translation tool.
For more information, see Connect MCP servers to Workflow Builder.
2. Add an organization-wide agent instruction
Organization-wide instructions apply to every conversation, so end users don't have to remember to mention DeepL in their requests.
-
Copy this instruction:
Use DeepL for every translation. Don't translate yourself.
- Paste it into the agent's instructions in the Agent Designer.
3. Build a translation agent with DeepL as its only tool
Create an agent that only connects to DeepL. When translating, the agent will not have any other options besides selecting DeepL.
- Create a new agent and add DeepL as a tool.
-
Add this instruction:
Use DeepL for every translation. Don't translate yourself.
- Share the agent with your organization.
For more information, see Gemini Agent Designer.
1. Force the tool call in your own agent
If you build your own agent with the Claude or OpenAI API, you can force the model to use DeepL for translations. This is the only way to ensure that DeepL runs for every translation request.
-
Add DeepL's
translate-texttool to your agent. -
Set
tool_choicefor translation requests:{"tool_choice": {"type": "tool", "name": "translate-text"}}In the OpenAI API, use"tool_choice": "required".
For more information, see Claude tool use and OpenAI function calling.
2. Build a translation agent with DeepL as its only tool
Create an agent that only connects to DeepL. When translating, the agent will not have any other options besides selecting DeepL. You can build one in Dust, Glean, Amazon Quick, Notion, Langdock, meinGPT, Le Chat, and most other agent platforms.
- Create a new agent and add DeepL as a tool.
-
Add this instruction:
Use DeepL for every translation. Don't translate yourself.
- Share the agent with your organization.
