It is possible for a DeepL account to have more than one subscription by enabling the subscription management by groups feature. Access to these subscriptions is decided by groups, which are managed by team admins. You can add users to groups to more easily manage what products they can access.
About groups
A group defines access to a certain combination of one or several subscriptions. Users can be part of one or several groups.
Team admins can assign users to these groups and manage them. All admins have admin rights for all existing groups, no matter what group they are assigned to.
There is no limit to the number of groups an admin can create. When creating a new group, admins must assign a subscription to the group to give users of this group access to DeepL. If no subscription is assigned to a group, users belonging only to this group won't get a license. For more information, on creating groups, see this article.
Several groups can have the same plan constellation. However, one group cannot be linked to two subscriptions to the same product (e.g. DeepL Translator). For more information, see this article.
If a user is linked to two groups that both provide access to the same product, they will only be assigned a licence to the more valuable subscription.
Default group
A default group is visible in the DeepL account area as soon as the subscription management by groups feature is enabled and there is at least one active subscription. By default, an active subscription is associated with the default group.
Admins can rename the default group (as well as any groups created later on), however the default group cannot be deleted.
If SSO is enabled for your team, users will always be added to the default group when they log in, even if they are removed from the default group. For more information, see this article.
About users
Users are the team members that are given access to subscriptions through specific groups. When users log in with their credentials (non-SSO), they can join a team through a personal invitation link sent via email.
Users can belong to multiple groups. If a user is removed from a group by an admin, they lose access to the subscriptions associated with that group. If a user is deleted, the are automatically removed from all groups they were a part of.
About subscriptions
If you purchase a new subscription with the help of your Account Executive or Customer Success manager, team admins need to assign that subscription to the groups they want to have access to the subscription.
Subscription management by groups can combine the following products:
- Translator: DeepL Pro Advanced, DeepL Pro Ultimate
- Write: DeepL Write Pro
- Voice for Meetings
- Voice for Conversations
- DeepL for Enterprise
Team admins
Admins of accounts with subscription management by groups will see some changes in their account interface. The tab Team will be split into the tabs Users and Groups, while the tab Invoices will appear as Billing.
- Users tab: you can find an overview of all users associated with your account, which groups they are a part of, the last time that user was active and their status in regards to their subscriptions
- Groups tab: you can manage the groups associated with the account, such as which groups allow access to which subscriptions
- Billing tab: you can find all invoices made out to your account
- Analytics tab: you can filter analytics by subscription
Feature specific changes
Glossary
When a user shares their glossary, it is shared among all users, not just the groups they are a part of.
If a user shared a glossary and is then removed from all groups, the shared glossary is transferred to the admin and continues to be available for all users of the account. This is only possible for admins that are assigned a license.
Document translation
Enabling subscription management by groups does not affect your previous configuration for document translation. Admins can change the configuration in their DeepL account at any time. For more information, see this article.
